WWDA Finance Committee Meeting Notes (Draft Until Approved)

March 16, 2019. Exit 45 Restaurant Menomonie

Members present: Denise Horstman, Angie Hutter, Kris Hansen, Rebecca Dennis, Karen Lee, Amy Schlieve, Danielle Koeppen, Pam Powers

Call to Order by Chair Horstman at 5 p.m.

Approval of minutes as present.  Schlieve/Dennis. Unanimous approval

Old Business:

-Show photographer: Lee reported only one person has sent samples. Charis Colson sent movement photos of horses in field. Affordable price list including low and high resolution photos and prints. Lee said she would have something for Colson to sign that she is the only professional photographer approved by club but personal photography is allowed. Move recommend Colson as show photographer Horstman/Lee. Approved unanimously.

-Venues for show: Sept. 15 approved date for Markquart’s location, Lee reported. Hansen reported she will know Tuesday if stabling is available at St. Croix County Fairgrounds. Stables usually are taken down after fair. Also Hansen will check if Sept. 21-22 date available. Lee does have Jodi Ely available for the September date to judge schooling show, which would allow for a recognized western dressage show.  Hutter expresses concern about running a two-day show if there would be enough volunteers given size of club. Possibly look at growing into two-day show. Hansen moves apply for a sanctioned WDAA show for Sept. 15 at the Dave Markquart farm. Dennis seconds. Passes unanimously

-T-shirts, embroidered, screen print. Dennis reports checked with three different places. River City Stitch, River Falls/Prescott, could do an online store. They would list of items we wanted online and they could take orders and payment. There is $30 embroidery fee set up. Fleet Feet, Menomonie. Set up embroidery fee $15.  Ann Polen, Knapp, does direct garment printing laser jet into fabric print, more durable and able to print anything. No charge extra colors. Hansen recommends River City Stitch for embroidery and online store and screen print if needed. Ann Polen could be used if we wanted to do laser printed shirts in a larger quantity. Seconded by Koeppen. Passes unanimously.

WDAA recognition. Powers moves to make sure the sanction fee not to exceed $35  but to pay sanction fee for September show. Seconded by Danielle Approved unan.

New Business:

-Discussion of fees for schooling show. Discussion $40 for western dressage recognized classes. Office fee discussion of increasing to $10 increase for everyone. Schlieve moves to recommend $10 increase office fee. Lee seconds. Passes unanimously

-Volunteers for schooling show  Sign up genie will be up again, Schlieve reported.

Chair Dennis calls to order at 6:15 p.m.

Approval of minutes from Jan. 19. 2019. Motion Koeppen/Hansen. Approved unanimously

Old Business:

-Educational ideas. Koeppen talked to county saddle rep. Educational workshop hands on with fee varying based on participants. Can do more hands on workshop, riders check own saddles for flat fee. Dates are open. Dennis did talk to horse chiro from Osseola, Brian Gray, Northern Lake Chiropractic. Is willing to speak to group. Danielle said Jackie Ross willing to do yoga usually charges $5/$10 per person. All she asks is for participants to bring a horse cooler or saddle blanket to use on ground. Lives in Roberts. Consensus seems to be run yoga and chiro in the afternoon possibly in April. Members would pay for it themselves. At Hay River Equestrian. Lee/Dennis move for approval. Passes unanimously. Dennis and Koeppen will work on possible dates and set it up.

-Subsidized traditional dressage clinic. Lee reported she talked to Kate Phillips from St. Cloud, Minn. The cost would be about $100 a lesson. $40 subsidy to members. Dates available June 1-2. Lee recommends to board try clinic with Kate with $40 subsidy to members for private lesson, $20 for semi-private lesson. Second by Schlieve. Passes unanimously.

-Western dressage clinic. Hansen reported she brought contract for signing to look at.  Motion to move forward with clinic. WWDA will insure and pay for one outhouse cleaning. The subsidy as approved at past meeting will stand for members. Club will pay $250 deposit as pre-pay of subsidy for members. Danielle/Hutter. Passes unanimously.

Call to order: President Lee

Minutes from Jan. 19, 2019: Move for approval Hutter/Schlieve. Passes unanimously

Reports:

-President: Lee no report

-Vice president: Hutter reported there are 18 members, one junior. Reminder: Anyone who is a USEF member has to take the safe sport class 30 days prior to competing in recognized shows. It has to be taken on USEF website.

-Secretary: Powers has no report

-Treasurer: Schlieve gave the treasurer’s report. Current income is $621.46 and expense is $993.28. This is typical this time of year to have more expenses until a club fundraiser. Move approve Powers/Dennis

-Show manager: Schlieve reported she has started show bill for April. Dennis moves raise office fees to $10 as recommended by Finance Committee. Koeppen seconds. Passes unanimously. New show bill will be made for September. Sign up genie is available for volunteers.

-Report of Finance Chair: Nothing that is not on agenda.

-Report of Education Chair: Nothing that is not on agenda.

Old Business:

-Update on website option. iPage is Stephanie Powers’ recommendation. Seems to have best format and layout for what we are doing. Right now hosting and free domain registration cost is $1.99 a month regularly $7.99 a month. Dennis moves to follow Stephanie Powers’ recommendation and switch to iPage within next three months. Treasurer Schlieve is authorized to payment of up to $100 for costs of setting up and moving the website. Stephanie will spearhead changing of website. Hansen seconds. Passes unanimously.

-Schooling show photographer: Powers moves we follow recommendation from Finance Committee to appoint Charis Colson as the schooling show photographer. Schlieve second. Passes unanimously.

-Western dressage clinic: Dennis moves follow recommendation of Education Committee to move forward with clinic. WWDA will insure and pay for one outhouse cleaning. The subsidy as approved at past meeting will stand for members. Club will pay $250 deposit as pre-pay of subsidy for members.. Schlieve second. Passes unanimously.

-English dressage clinic: Schlieve moves to do the Kate Phillips clinic June 1 and June 2 at Hay River Equestrian. There would be a $40 subsidy per day for member private lessons, $20 per day for member semi-private lessons. Hansen second. Passes unanimously.

– WDAA: Motion to spend $35 to get September show WDAA approved. Dennis/Danielle. Passes unanimously

The board agreed to set a board of directors meeting at future date that will be announced on website and Facebook.
