Finance Committee Meeting Minutes 

5 p.m. Saturday, Jan. 19 at Exit 25 Restaurant in Menomonie

Present:  Angela Hutter, Nyla Newville, Denise Horstman, Karen Lee, Stephanie Powers, Rebecca Dennis, Kris Hansen, Danielle Koeppen, Amy Schlieve, Pam Powers

Meeting called to order by temporary chair Amy Schlieve at 5:07 p.m. on Jan. 19 at Exit 45 Restaurant in Menomonie.

Move to approved last meeting minutes. Hutter/ Pam Powers. Passes unanimously

Election of chair: Nomination for Denise Horstman. Motion made by Lee/Dennis. Powers move for unanimous acclimation. Approved.

Old Business: None

New business:

  1. Discussion of professional photographer at schooling show. Consensus that there needs to be a policy. There needs to be releases, pricing clearly posted and the club will help promote the person. There could be early sign up with photographer. Two separate issues were discussed with photos being taken and photos being posted. There should be a Facebook and website notification by Feb. 1 to announce the club is looking for a photographer.
  • Motion: To have club sponsored show photographer at the schooling shows that is approved by Board of Directors. Made by Dennis/Schlieve. Approved unanimously
  • Motion to have the photographer approved a month before shows in 2019 and three months before shows in future years. Made by Dennis/Schlieve. Approved unanimously.
  1. Two day schooling show vs. one day shows. The spring schooling show is set for April 28 at River Bluff Farm in Elk Mound. Still working on getting a date in September for fall show. There was discussion of possible looking at another venue in the future. Hansen reported that St. Croix County fairgrounds would be $500 for stalls and $400 for arenas for a two-day show. The fairgrounds provides tractor, drag and PA system. The club would be responsible for manure and trash removal. There are 25 to 30 stalls. This could allow for both western and English dressage to expand. Hansen agreed to look at possible dates open in September. Koeppen also reported there is a possibility to work with Minnesota Arab and Hal Arab Association to cooperate on a two-day show. There will be more discussion to look into that as a possibility.
  2. Fundraising activities: Discussion if club wants to continue flower sale. Consensus no flower sale.

Education Committee Minutes

  1. Called to order by Hutter 5:40 p.m. at Exit 45 Restaurant, Menomonie, Wis.
  2. Hansen moves approve minutes. Lee seconds. Approved unanimously
  3. Election of chair: Hansen nominates Dennis. Horstman seconds. Move unanimous vote for Dennis. Approved.

New Business:

  1. Educational ideas for 2019: Chiropractor one idea, yoga class, saddle fitter. Koeppen is is going to check in to yoga and saddle fitter. Dennis is going to talk to chiros
  2. Clinics: Lee makes recommendation to Board of Directors $40 subsidy for private lesson and $20 subsidy per WWDA member for semi-private ones for all WWDA coordinated Members must volunteer for the subsidies. Second by Dennis. Approved unanimously.
  • Lee discussed possible English dressage clinicians. Robert Zandvoort or Kristi Wysocki. Lee will look into who is available, dates available, if they will take western dressage riders. Amy Larson is also an option.

WWDA Board of Directors meeting minutes

Board of Directors

Board members present: Karen Lee, Amy Schlieve, Angela Hutter, Pam Powers, Kris Hansen, Rebecca Dennis, Danielle Koeppen. Other members present: Nyla Newville, Denise Horstman, Stephanie Powers.

  1. Call to order at 6:15 by Pres. Lee
  2. Approval of Minutes: Hutter/Pam Powers. Passes unan.
  3. Reports:
  4. President: None
  5. Vice President: Hutter reported 17 members including one junior.
  6. Secretary: Powers had not report.
  7. Treasurer: Schlieve gave out the income and expense report from Dec. 1, 2018 to Jan. 19, 2019.
  • Total income: $525.96 ($5.96 in dividends and $520 in membership fees)
  • Expenses $933.28 (GMO dues $280, Liability insurance $548, web page $105.28
  • Move approve treasurer’s report Dennis/Hansen. Passes unan.
  1. Old Business:
  • Approval of funding web: Hansen moved Stephanie Powers to look at costs of website. Second by Pam Powers. Approved unanimously. Web site cost will continue until a decision is made. Dennis moved to pay for web page monthly until decision made. Hansen second. Approved unanimously.
  1. New Business:
  • Professional photographer at schooling shows Move adopt recommendation from Finance Committee to have Board of Directors name photographer one month prior to shows this year and three months before future shows. Dennis/Hansen. Approved unanimously.
  • One day show vs. two-day: Move accept recommendation of Finance Committee to look into other venues for possible future two-day shows and have first show of 2019 at River Bluff Farm in Elk Mound. Powers/Dennis
  1. Educational opportunities: Clinic coordinators were named with Lee to handle English clinics and Hansen for western clinic this year. Motion to approve Powers/Dennis. Approved unanimously.
  2. Show manager appointment: Motion to have Schlieve appointed as show manger for all 2019 showsHutter/Hansen. Approved unanimously.
  3. Other fundraising opportunities: Motion to follow Finance Committee recommendation on schooling shows. Dennis will check into cost of having t-shirts embroidered and screen printed. Dennis will look into cost of an item to give out at shows. Stephanie Powers will assist.
  4. WWDA member subsidized clinic set for June 22-23 at Hansen’s Prospect Farm. Clinician is Cyril Pittion-Rossillon. Hansen will let those interested know the cost of the clinic. Audit fee is $30 per day.
  5. For new business next meeting the board must consider Western Dressage Association of America judge fee of about $35.
